VisualRef ("we", "us", or "our") is dedicated to protecting the privacy of our enterprise customers, partners, and website visitors. This Privacy Policy outlines our practices regarding the collection, use, and disclosure of your information when you use our Generative Engine Optimization (GEO) platform and AI Share of Voice analytics services (collectively, the "Services").
1. Information We Collect
We collect information directly from you, automatically through your use of our Services, and from third-party sources (such as integrated LLM APIs).
- Account Information: Name, professional email address, company name, billing information, and authentication credentials.
- Platform Data: Search queries, domain URLs submitted for analysis, and custom content briefs generated within the platform.
- Usage Data: We automatically collect telemetry data, including log details, IP addresses, browser types, and interaction metadata (such as feature usage and dashboard navigation metrics).
2. How We Use Your Information
We do not sell our customers' proprietary data. We use the collected information exclusively for the following purposes:
- Service Delivery: To generate AI Share of Voice metrics, parse domain analytics, and assemble content briefs using our backend engines.
- Platform Improvement: To train our internal machine learning pipelines for better keyword extraction and entity matching (unless you explicitly opt out via Enterprise controls).
- Security: To monitor for unusual activity, prevent unauthorized access, and ensure compliance with our Terms of Service.
- Communication: To send critical platform updates, billing notices, and proactive insights regarding your brand's AI visibility.
3. Subprocessors and Third-Party Integrations
To provide comprehensive GEO analytics, VisualRef interacts directly with third-party Large Language Models (LLMs) including, but not limited to, OpenAI (ChatGPT), Anthropic (Claude), and Google (Gemini).
When you submit queries or domains for analysis, the public URLs are processed by these engines. We strictly abide by the zero-retention API policies of our enterprise LLM partners. Your proprietary internal data, unless explicitly submitted as part of a public search audit, is never used to train third-party foundational models.
4. Data Retention and Security
VisualRef implements SOC 2 compliant security measures, including AES-256 encryption at rest and TLS 1.3 in transit. We retain your account data for as long as your account is active. Upon account deletion, all associated historical tracking data, content briefs, and analytics are permanently purged within 30 days.
5. Your Data Rights (GDPR & CCPA)
Depending on your jurisdiction, you have the right to access, correct, delete, or export your personal data. Enterprise administrators have direct access to automated data export and deletion tools within the VisualRef Command Center.
